Two ways to use this receipt template

Fill in the form above and the template does the math: line totals, sales tax and the grand total. Print it or download a PDF. If you'd rather write receipts by hand, download the blank receipt and print a stack of them. It has the same layout, with lines for items, tax and total.

What to fill in

  • Your shop name and phone. Remembered on this device after the first receipt.
  • Customer name. Optional. Useful for larger sales or anything with a warranty.
  • Items. One line per item, with quantity and price. Add as many rows as you need.
  • Tax rate. Your combined state and local rate. It's remembered too.
  • Paid with. Cash, card, Cash App or Zelle.

Why a numbered receipt beats a blank pad

Handwritten receipts work, but they're easy to lose and hard to search. Each receipt made here gets its own number (S-001, S-002 and so on), the math is always right, and the PDF can be texted to a customer who doesn't want paper. If you use the blank template, number each receipt yourself and keep a copy.

What every receipt should include

At minimum: your business name, the date, what was sold, the amount of each item, the tax, the total and how it was paid. Adding your return or warranty terms heads off arguments later. The printed receipt includes a short warranty line; tell customers your actual terms.

Sales tax

Show tax on its own line. Rates vary by state and often by city or county, so use your combined rate. If you're not sure what's taxable, check your state revenue department's website.
