Free Buyback Receipt for Used Phones and Electronics

A phone buyback receipt is the signed record a buyer keeps when they pay someone for a used phone: who sold it, what device it was, its IMEI and condition, how much was paid, and the seller's promise that they own it.

Why the receipt matters more than the phone

When you buy a used phone, the money leaves your hand right away. The risk stays with you. If the phone turns out to be stolen, blacklisted or still on a payment plan, the only thing standing between you and a loss is what you wrote down at the counter. The receipt is how you show you bought it in good faith, from a named person, on a known date.

What to record, and what each field protects

  • Seller name and phone. If the phone is reported stolen later, this is the person police will want to talk to, not you.
  • ID type and the last 4 of the ID number. Proves you checked a real document and the name matches the face. Keeping only the last 4 on the printed copy means the receipt is not a full ID sitting in a drawer.
  • Device, with model and storage. "iPhone 14 128GB" is a record. "iPhone" is not. Storage changes the value, so it belongs on paper.
  • IMEI. The one number that ties this receipt to this exact phone. It is what carriers and police use to look up a device.
  • Condition grade. Stops the seller from coming back and claiming the screen was perfect when they sold it.
  • Amount paid and how. Cash, card, Cash App or Zelle. Your books need it, and it settles any argument about what was agreed.
  • Ownership statement and signature. The seller signs that the phone is theirs and not stolen or lost. That signature is the line that shifts responsibility back to them.
  • Date and a receipt number. So you can find this transaction again in six months.

How to print one in the app

  1. Click the button above. The buyback printer opens in your browser.
  2. Type your shop name and shop phone. They are saved for next time.
  3. Under Seller, enter the customer's name and phone. Pick the ID type (driver's license, state ID, passport or military ID) and type the last 4 digits.
  4. Under Device, enter the model and storage, the IMEI, and a condition grade from A to D.
  5. Enter the price paid and how you paid.
  6. Click Print receipt, or download the PDF. Have the seller sign and date it before you hand over the money.

Each receipt gets a number like B-20261013-001, counting up for your shop.

A filled-in example

A customer walks in with a phone to sell. Here is what the counter person enters:

  • Seller: Maria Lopez, (313) 555-0142
  • ID: Driver's License, last 4 is 8831
  • Device: Samsung Galaxy S23 256GB
  • IMEI: 356789104523117
  • Condition: B (light scratches on the frame, screen clean)
  • Price paid: 180, cash

The printed receipt shows all of that, the ownership notice, and a blank line where Maria signs. You keep the signed copy.

Common mistakes

  • Paying before the signature. Once the cash is in their pocket, there is no reason for them to sign. Sign first, pay second.
  • Skipping the IMEI because the phone is locked. Dial *#06# or check the SIM tray. If you cannot get the IMEI, think hard about buying the phone.
  • Not looking at the ID. Typing 4 digits the seller reads out loud proves nothing. Hold the card and compare the photo.
  • Writing "good condition". Use a grade and a short note. Vague words do not hold up in a dispute.
  • Losing the paper. File signed receipts by date.

Some cities and states have their own rules for buying used electronics, like holding the phone for a set number of days, keeping the full ID number, or reporting purchases to police. Check what applies where you are. The receipt is the base record. Your local rules may ask for more.

If you also repair phones, a repair work order covers devices customers leave with you. When you resell a phone you bought, the invoice generator gives the buyer a proper bill.

Questions

Is a buyback receipt the same as a bill of sale?

Close. A bill of sale is any written record that ownership changed hands. A buyback receipt is a bill of sale built for a shop buying devices, with fields for IMEI, condition and seller ID.

Do I need the seller's ID to buy a used phone?

Many places require it for shops that buy secondhand goods. Even where the law is silent, checking ID is the main thing that protects you if the phone was stolen.

Where do I find the IMEI?

Dial *#06# on the phone. It is also in Settings under About, and on many phones it is printed on the SIM tray.

Does the seller get a copy?

Give one if they ask. The copy that matters is the signed one you keep.

Do I need an account to print buyback receipts?

No. The printer is free and works without signing up. A free PhoneShopPOS account saves every buyback under the seller's phone number, so you can look up past purchases later.
